How to Verify a Chinese Supplier Before Sending Money

Mid-market companies often discover that a China-relatedproblem becomes urgent only after money, tooling, inventory, or customer commitments are already at risk. The practical steps below are intended to help management identify the right counterparty, preserve leverage, and decide when local counsel or other specialists should become involved.

Why verification must come before payment

A polished website, responsive salesperson, sample product,or professional-looking invoice does not establish that the counterparty is thefactory it claims to be. Before paying a deposit, a buyer should confirm the legal identity of the entity receiving the money, its registration status, business scope, ownership, legal representative, and connection to the facility producing the goods.

Confirm the exact legal entity

Obtain the supplier’s Chinese business license and match theChinese company name, unified social credit code, registered address, and legal representative against official records. The Chinese name is the critical
identifier. English trade names are often informal and may be used by several related or unrelated entities.

Match the contract, invoice, and bank account

The contracting party, invoice issuer, and bank-accountholder should be understood and documented. If payment is requested to a Hong Kong affiliate, trading company, employee, or unrelated account, determine why and reflect the arrangement in the contract. A mismatch does not always indicate fraud, but it creates enforcement and recovery risk.

Check operating capacity and warning signs

Review public litigation, enforcement, abnormal-operation,and administrative-penalty records. Confirm that the supplier’s business scope and apparent staffing are consistent with the proposed order. For material orders, combine record checks with a video inspection, reference calls, sample review, or independent factory visit.

Use verification to improve the contract

Verification is not merely a pass-or-fail exercise. Findingsshould affect deposit size, milestone payments, inspection rights, tooling controls, warranties, and dispute provisions. A supplier with thin capitalization, a short operating history, or a confusing entity structure may require tighter payment and performance protections.

Before sending additional money or escalating the dispute,assemble the Chinese business license, contract, purchase orders, invoices,bank details, payment records, and key communications. A focused review can
identify the correct entity, the immediate leverage points, and whether a legal demand, local verification, negotiation, or litigation assessment is justified.
